Identify Business Owners
First, you will need to identify all individuals who qualify as a business owner within your business. A business owner is defined as someone who has a legal stake in your business. A business owner does not include someone who is important to your business operations but does not have a legal stake in your business. This article from the IRS can help you identify business owners. It is required that a background check is run on each business owner. It is very important that you correctly identify business owners, because once business owners are added to the roster, a background check is then required.
Identify Potential Employees or Service Professionals
Once you have identified all your business owners, you will need to also identify all your employees.
An employee or service professional is each employee, independent contractor, temporary worker, contingent worker, vendor, or any other individual who will go into customers homes, workplaces, or any other properties to perform core services for the customer.
Office managers, clerical workers, customer support representatives (or others that don’t visit customers) don't need to be listed as employee or service professionals. Employees are also not the individuals who have a legal stake in your business, unless they also fall into the above category. Instead, list those who have a legal stake as Business Owners.
If you have more than two employees, we recommend making a list of these individuals so that you can followup with them as necessary throughout the background check portion of the application process.
Confirm email addresses of all the individuals who will be on the roster
Once you have identified all the business owners and employees within your business, you will need to confirm that you have an up-to-date email address for each of these individuals.
We recommend collecting the email addresses that you have for these individuals already on file, and confirming that they are correct with the individual before submitting the roster if at all possible.
If you have more than 4 employees and you managed to read this article before you logged in, it's a good idea to send out an email with each person copied, and have everyone reply from that email address to demonstrate that they have access. This can help uncover any unpredictable issues that individuals might have with accessing their email.
