Why do I get email notifications?

Evident will send you email notifications whenever your client is requesting certain insurance documents from you. These notifications could include:

  • new insurance policies required to do business with your client, 
  • notices about policies that are coming up on their expiration date, or
  • notices about policies that do not meet the requirements set by your client, or 
  • notices that have any combination of the above needs.

  

What's included in my email notification?

Email notifications you receive from Evident will include the following details:

  • A link to your client's requirements. Your client will provide you either with a sample certificate of insurance (COI) or a list of requirements that you'll need to provide in your insurance document(s). You can find these requirements by clicking on the insurance requirements link in your email or by reading any instructions contained within the email.

  • Instructions from your client on what policies you're required to submit. Your client will provide you with guidance on what you need to provide, including the necessary insurance policies. The email you receive from your client will also alert you to any policies that are coming up for expiration and which policies are non-compliant.

  • A link to upload your insurance documents. Look for a button in your email that's labeled either "Upload Certificate(s) of Insurance". This will take you to our submission page where you can upload and submit your insurance documents.

  • Information about how to contact your client for support. If you have any questions about your requirements, why you need to provide specific insurance, or the status of your submission, look for the contact information contained in your email.

 

How long do I have to respond to my email notifications?

It depends on your client, but most expect a response back within 30 days. In addition, the request for your insurance documents will typically expire after a period of 30 days, so it's important to be timely in your response to avoid non-compliance due to a lack of response.

 

Will I be reminded about my email notifications?

Yes. You'll receive reminders on a regular basis until you respond to your client's request. In all cases, it's important that you respond promptly with documents that meet your client's requirements in order to remain in compliance with them.

 

Can I forward my email notifications to my broker or agent?

Yes, you can forward your email notifications to your broker or agent. They can then submit insurance documents on your behalf by clicking on the "Upload Certificate(s) of Insurance" button in the email(s) you forward to them.

 

Why do I keep getting email notifications after I've submitted my documents?

There may be several reasons why you keep getting email notifications after you've submitted your documents to your client:

  1. You may have one or more policies that have expired or are nearing expiration. It's important to provide updated certificate(s) of insurance for expiring policies to continue meeting your client's requirements. Be aware that our system will only process updated information for the policies that you've been asked to provide in your email—the system will not automatically update any other policies found in your certificate(s) of insurance.
  2. You may have one or more policies that are not in compliance with your client's requirements. If so, be sure to review the reasons for non-compliance in your email and make the necessary corrections in your certificate(s) of insurance.
